Case Study – User Conference


Our client was a restaurant industry software company that wanted to take its annual user conference to the next level – with seamless logistics and memorable experiences. In addition to three days of general sessions and break-outs designed to help clients better utilize the software, and roll out a new product, the company also wanted two off-premise events that would provide an opportunity for its sales staff to interact with its clients in a casual and fun atmosphere.


  • A two-tier check-in process for the 100+ attendees assured that they were not only greeted as they entered the hotel, but when they approached the check-in desk, their badges, packets and T-shirts were already waiting for them.
  • The welcome reception at a 6th Street live music hot-spot featured a locally-renowned band whose infectious rock sounds mixed with Latin percussion was a hit with the crowd. Sales staff and clients mingled and socialized over margaritas and Tex-Mex fare, including tequila infused ice cream.
  • The first General Session started out with a bang – an opening act percussion group that played drums on trashcans woke everyone up and got them ready for a day of education and networking.
  • The second night’s social event was held at a popular restaurant, chosen because the menu was sure to impress even these restaurant-industry clients who have seen it all. After cocktails on the private rooftop and a taste of the fabulous fare, guests were able to exercise their competitive muscles with a trivia competition, which included some industry related questions among the pop culture and history standards.


Being hired after the venue had already been secured, CLINK hit the ground running to find the best way to fit the conference requirements into the space. We oversaw all logistics and coordinated all event details on site (online registration, venue, hotel rooms, check-in staffing, meeting room layout, program enhancements, on-site management). We also produced both off-site events from start to finish (venue selection, menu selection, layout, décor, transportation, entertainment). CLINK took care of the program logistics and planning, so that the client could focus on program content and relationship-building with its customers.
